These release notes describe new features and fixed issues in the 2025 releases of HotSOS and HotSOS Housekeeping.

Help with using HotSOS or HotSOS Housekeeping features is just a click away. Within the application, click In-line help (icon for in-line training and help) in the top-right corner of any page to turn on inline Training & Help. Click Training & Help Home in the lower left sidebar to access a wealth of information on the features and functions of HotSOS and HotSOS Housekeeping.

Attendant Productivity dashboard update

The Attendant Productivity dashboard has been enhanced with additional filters and new summary cards to more effectively monitor room attendants' productivity. The pill pattern has been updated to better display overlapping guestroom pills.

Housekeeping dashboards update

The housekeeping dashboards from HotSOS Mobile are now integrated into the housekeeping dashboards for HotSOS Desktop. Users can access the dashboards without logging into HotSOS Mobile, thereby providing housekeeping management with a comprehensive view of their daily operations to facilitate informed and precise decision-making.

Temporary room attendant goal and report

The Temporary Goal Adjustment option in the Attendant console allows users to adjust an attendant's goal each day, either by increasing or decreasing it, and requires a remark for each change. The system ensures that temporary goal changes reset appropriately at the start of each shift, and it displays the temporary goal wherever goals are shown, including the productivity dashboard.

Guestroom planner

Users with the roles of Unit Schedule Manager, Unit Schedule Viewer, or Corporate System Administrator can use the guestroom planner to view and manage custom preventive maintenance schedules for guestrooms on a recurring basis. View in Operations > Schedules > Guestroom Planner.

Desktop accessibility enhancements

Enhancements to address ADA compliance and accessibility across all Service Optimization products are being made. The contrast color of some fields in various modules within HotSOS and HotSOS Housekeeping is now slightly darker. When a desktop user opens the Filter Builder panel, the options Cancel and Apply display at the bottom of the filters list instead of a green check mark to save filters. Desktop users can click Apply to save their selected filters or Cancel to discard any actions taken.

Implement setting to apply Service Refused to both AM and PM consoles when applied

The Housekeeping Configuration module now includes a setting that applies Service Refused to both AM and PM consoles. Admin users can choose to apply Service Refused in one or both consoles by default.

New Housekeeping report available

A new Attendant Goal report records updates to an attendant's temporary goal, including the goal difference and reason, with filters for Date, Time, Room Attendant, and others.

Custom room attendants' mobile list view

Mobile settings allow users to adjust screen appearance to show the room list view specifically for individual room attendants. Configure setting in Housekeeping > Configuration. Enable the custom option in display settings, then configure the list views per room attendant in the Attendant Console.

Attachments at order level for PM, inspection, and round types

Users can now upload attachments and associate them with PM orders, inspections and rounds , regardless of the order status. Users can also associate attachments that occur after an order is closed, improving work management and productivity.

Housekeeping Cluster

Organizations with shared housekeeping resources can assign guestrooms and manage room cleaning tasks with a single login in HotSOS Desktop. Housekeeping management and room attendants can also view and toggle between hotels within their cluster in HotSOS mobile. There is no combined view of the units of the same cluster.

Users with the role of Unit Corporate Manager might need to configure housekeeping cluster teams.

Implement assign all for task sheet console

When processing task sheets, users have the ability to process all the rooms at once. This helps reduce processing time when assigning multiple items.

Send direct messages to users within the same cluster

Cluster users can communicate with other users within their cluster team from their home unit. Messages from cluster users are delivered to both HotSOS desktop and mobile users. Also, cluster users logged into desktop can receive these messages. Cluster users can continue to send messages to individuals who belong to their home unit. When you select the cluster user to send a message to, the unit displays as part of the user's details.

Service order data retention policy

Effective April 2025, HotSOS automatically voids any unarchived open service orders that remain without updates for 365 days. Customers need to update service orders to prevent them from being voided. Actions like adding remarks or changing priorities extend the order’s life by 365 days. For more details see Open service order retention policy.

Return room to Awaiting Service if Return Later room is checked out

A new setting option called 'Send Return Later to Awaiting Service After Checkout' is introduced. When enabled, if Return Later is applied to a room before a guest’s departure, the service status reverts to Awaiting Service upon the guest's checkout via PMS. This feature enhances productivity by allowing room attendants to service vacant rooms promptly, eliminating the need to wait for management's confirmation of room vacancy.

Relocate Schedules and Round schedules from Configuration to Operations

The Operations menu now includes the Schedules and Rounds modules, relocated from the Configuration menu. This change improves user experience by reducing the number of clicks needed to navigate between menus.

The Schedules module is now called Preventive Maintenance and includes the following list views: Schedules, Schedules Preview, Annual, and Month.

View and update orders from the Schedules module

Users can update service order statuses from the Schedules module thanks to the addition of a new tab, Service Order History, to the schedule details.

View in Operations > Schedules > Preventive Maintenance > Schedules tab.

Additional predefined memos added

Users now have the option to select predefined memos when updating temporary credits, minutes, surface area, and Refused Service to help create a more unified product.

Edit floor, tower, and sequence fields in room configuration details.

Users with administrative roles can edit a room's details such as tower, floor, and room sequence without opening an Amadeus support ticket. View these in Configuration > Rooms. Floor and Tower filters are added to the Filter Builder. Download the data to Excel. The Configuration Change Log Report shows the updates.

The Unit Job Site Manager role is needed to update room information. Towers and floors must already exist for the property.

Columns for Tower and Room Sequence are added to the AM Console Display. View these under Operations > Housekeeping > Room assignments.

User Templates

Administrators and managers can use User templates to create new users with the appropriate roles, ensuring they don't overlook anything when onboarding new personnel. Users with the Unit Department Manager or Unit Personnel Manager roles will access these new capabilities.

Virtual Users

Create personnel for purposes such as assigning orders, tracking labor, or receiving alerts. These users are not meant for actual personnel to login. Virtual Users can be created for these purposes without the need for actual login access, thereby eliminating security risks.

Display total number of credits, minutes, or surface area for rooms in assignment lists

The total number of minutes, credits, or surface area is displayed in the counter in the AM and PM lists under Housekeeping > Operations.

Reassign room assignments directly in the Housekeeping Attendant console or Status board console

Housekeeping attendant and status board consoles allow users to reassign rooms directly, eliminating the need to switch back to the AM or PM console.

New role allows users to update UDFs in Service Orders Module

The UDF Manager role allows users from both Unit and Cluster levels to update user-defined fields (UDFs) information from the location card in Service Orders module in Desktop.

Implement the ability to refuse service for entire quest stay

A new setting is added to allow for the Refused Service status to persist for the duration of the stay. This eliminates the need for Housekeeping Coordinators to perform these tasks manually on a daily basis, thereby reducing the potential for human error.

Implement the ability to schedule stay-over linen tasks for VIPs and guests with special request code

A Custom tab is added to the Frequency Clean card in Housekeeping settings. This reduces time and can be used to schedule stay-over linen tasks outside of the default stay-over clean setting, based on the guest VIP code and special request code.

Enforce MFA for admin roles at corporate and unit level

To enhance security, multi-factor authentication (MFA) is automatically enforced for users with administrative access across corporate and unit levels. These changes are expected to take place the last week of January 2025

Recalculate goal in Quick Assign and Assign To based on rooms selected

When assigning rooms using Assign To or Quick Assign, the goal is recalculated and the new goal displays based on the property's assignment rules. Alerts are displayed to inform users of goal changes and provide a reason for the change.

This helps to give clarity to our end users on what is taking place, based on actions performed in Room Assignments, AM/PM Consoles, Attendant Console, Status Board Console, and HotSOS Mobile.

Implement the option for Refused Service for entire guest stay

A new setting is added to persist the Refused Service status for the guest's entire stay. Access this setting in Housekeeping Settings > System > Options.
