View volume contract details
The Volume Contract page displays revenue and period information for a volume contract. All users at the property can view this information, add activities to the contract, and clone the contract. Contract owners can also edit the details, create new periods, enter pickup, manage contacts, add notes and attachments, and delete the contract.
To open the Volume Contract page, do one of the following:
- Find the volume contract using the Search field at the top of any page, and then click the contract name.
- Go to the Volume Contracts section on an account or contact, and then click the contract name.
- Click the Volume Contracts tab, select the appropriate view, and then click the contract name.
To help you work with your contracts, the Volume Contract page includes several areas of detail. Select your Salesforce experience for further details.

Message |
This displays messages for the volume contract. Check the Message area often to see if any issues require your attention. |
Volume Contract Detail | |
Contract Name | This displays the name of the volume contract. |
Contract Start and Contract End |
These display the start and end dates for the volume contract. |
Contract Status | This displays the status of the volume contract. The following statuses are available:
For Declined, Lost, or Cancelled business, your property might require you to complete the fields in the Lost Business Information section. |
Anticipated Periods | This displays the time intervals of the volume contract. The client is required to guarantee a certain number of rooms during each of these periods. |
Owner | This displays the name of the individual who owns the volume contract record. You can assign the volume contract to a different owner. |
Decision Due | This displays the date the contract must be signed and returned by the client. |
Rate Information | This displays the rate or discount for the volume contract. |
Account and Agency Information | |
All fields | If you are creating the volume contract from an account or contact, the information automatically displays here. Otherwise, find and select the appropriate records. |

Contract Market Segment |
This is the market segment for the volume contract. |
Contract Type |
This is the type of the volume contract. |
Contract Lead Source | This displays how the client learned about your property. |
Revenue Information (Calculated) | |
All fields | Contracted and Forecasted values are automatically calculated by the periods created for the volume contract. Each period's forecast information displays in this section of the volume contract. Actual values are automatically calculated as rooms are picked up within each period of the volume contract. Each period's pickup information displays in this section of the volume contract. The Actual fields on the Volume Contract Period Edit page also update with pickup. |
Lost Business Information | |
All fields | When the status of the volume contract is changed to Declined, Lost, or Cancelled, this section records information about the lost business. See Record lost business information for volume contracts. |
System Information | |
Created By |
This is the person who created the volume contract and the related time stamp. |
Last Modified By |
This is the person who last modified the volume contract and the related time stamp. |
Date Bid | This displays the date that the user sent the bid to the client. |
Date Contracted | If the business has been won, this field displays the date that the client signed the volume contract. |
Last Status Date | This displays the date of the most recent status change. |
Related Lists | |
Periods | This displays the periods within the volume contract's date range that specify the number of guestrooms the client contracted to book. You can create periods manually or have the system create them automatically. See Overview: Volume contract periods. |
Open Activities | This displays the outstanding tasks and events created for the volume contract. You can use this section to create new activities and edit or delete activities assigned to you. After a task is completed or an event occurs, it moves to the Activity History section. See Overview: Activities. |
Activity History | This displays logged calls, sent emails, and other completed tasks and events associated with the volume contract. See Overview: Activities. |
Notes and Attachments | This displays notes and attachments associated with the contract. If you are the volume contract owner, you can add, edit, and delete notes and attachments that include additional information about the record. After a document is merged from the contract, a copy of the document is added here as an attachment. |
Volume Contract History | This displays an audit trail of changes made to the volume contract. You can see the date of the change, who made the change, and the action taken. |
