Work with bookings
If you have a group that needs multiple diagrams, it's convenient to keep them organized in a booking. After your property has been creating bookings for a while, you might have a long list on the Bookings page. To find what you need, use the search field at the top of the page. You can also sort by clicking a column header, and filter by date, status, property, setup style, and user.
If your property is integrated with your Sales & Catering system, the Sales & Catering system creates and manages bookings, and those records display as read-only in Delphi Diagramming. See the integrations topic to learn more. If you want to create a diagram before creating a booking in your sales and catering system, create a Quick Room Plan that you can move over to your booking later.
- On the Bookings page, click Create Booking.
- In the Create a New Booking window, provide the following information:
- Enter the Booking Name.
- If you have access to more than one property, select the Property Name for the booking.
- Select the Owner if the booking should be assigned to another user.
- (Optional) Select the booking's Start Date and End Date.
- (Optional) Select the booking's Status (Prospect, Tentative, or Definite).
- Click Create Booking.
- On the Bookings page, point to a booking and click Edit .
- Make your changes in the Edit Booking window:
- Click Save Changes.
- On the Bookings page, point to a booking and click Copy .
- In the Copy a Booking window, provide the following information:
- Enter the Booking Name.
- (Optional) Select the booking's Start Date and End Date.
- (Optional) Select the booking's Status (Prospect, Tentative, or Definite).
- Select whether you want the new booking to Include Events or Include Events and Room Plans from the source booking.
- Click Create Copy.
By default, all bookings are shown. You can change this by filtering the list of bookings by setup style, status, date, and/or user. As you add filter conditions, they are automatically grouped. You can also search by any part of a booking, event, or room plan name, or by number of attendees or chairs.
- On the Bookings page, do the following:
- Click Filter by Setup Style, select the appropriate setup (for example, Theater, Classroom, Banquet, or Conference), and click Apply.
- Click Filter by Status, select the status you want to view (for example, Prospect, Tentative, or Definite), and click Apply.
- Click Filter by Date, select the appropriate time period (for example, Last Month, Next Month, or This Year), and click Apply.
- Click Filter by User, select each user whose bookings you want to view, and click Apply.
For example, you might view all bookings for next month that were created by Jenny Lee and Andrew Reeves.
- Your Filter by User is saved and will be applied for subsequent logins.
- To clear filters, click the corresponding X in the Filtered by area of the page.
Do one of the following:

To reassign a single booking, point to the booking and click edit , select the new Owner, and click Save.

To reassign multiple bookings

On the Bookings page, use the filters to locate the relevant bookings.

Click Reassign Owner .

Select the bookings to reassign.

Select the new owner in Reassign owner of selected bookings to.

Click Save Changes.

For example, if Jenny Lee leaves the team, you can use the filters to locate her active bookings (future dates with Prospect, Tentative, or Definite status) and reassign them all to her replacement.
- On the Bookings page, point to the booking and click Delete .
- Click Delete Booking to confirm the deletion.
All events and room plans associated with the booking will also be deleted.
Have you ever wondered who changed the owner of a booking? Changes to bookings are logged in the system. Point to a booking and click Show Booking History to find out. This feature was introduced on September 29, 2022 —so only changes made after that date will display.
