Provide general location information
On the Location General page, the basics are provided such as the name and address of your property, time zone, and preferred units of measure. Typically this page is completed when you first install MeetingBroker and it rarely needs to be updated moving forward.
If a subscription administrator has selected the Managed Location check box on this page, many of the fields will be set to read-only for location administrators. If any of the information in the read-only fields is incorrect, contact a subscription administrator to change it for you.
To manage general location information
- From the Subscription Administration Home page, click the Locations tab.
- Select a location. The General page opens by default.
- The following options are available:
Field | Description |
Type |
Use the drop-down list to choose whether this location is a Property or Sales Office. Sales Office is meant to be used for above-property locations like National, Regional, or Global sales. |
Presentation Template |
The default is Property Info. If available, you may select another template (not commonly used). Learn More
Templates are used when the property informational page is shown to the customer. Templates are also used when clicking on a Location name from the Meetings tab (the tab with Create New Meeting and Quick Create buttons). |
Location Name and address fields |
The name and address that you want to display to customers and other users in the subscription. When you create new users at the location, this address will be their default. Please contact Amadeus Support if you have changed the name of your property so we can update our records and properly assist you moving forward. |
Status |
If you are the subscription administrator, select whether the location is Active or Inactive. |
Subscription administrators can select this option to prevent accidental changes to key reporting and integration information. When a location is set to managed, the location administrator will have read-only access to the following fields: Location General pageType, Location Name, Address Lines 1 -3, City/Region, Zip/Postal Code, State/Province, Country, Location Code, Telephone/Ext, Fax, Brand, Default Currency, and Default Time. Location Details pageNumber of Attendees at Largest Event, Largest Function Room Size, Nearest Airport Code, Total Number of Guestrooms, Peak Number of Guestrooms, and Driving Time to Airport. |

Hotel UGI |
Enter the location's unique global identifier (UGI) code, which third party channel partners can use for identification. |
Reference Number |
This field can be used in different ways for corporate reporting or configuring integrations with other applications. Do not edit unless instructed to do so by your subscription administrator or an Amadeus professional. |
Location Code |
If your organization or brand assign codes, enter yours here. This can be used for search criteria or for integrations. |
Brand |
If applicable, enter the official brand name as it is displayed on your website. |
Management Company |
If applicable, enter the name of the company that manages your location. |
Units of Measure |
Specify the Units of Measure that this location's users prefer. |
Send Turn Down Email When Turning Down RFP From Integrated Sales and Catering Systems |
If your location is integrated with a sales and catering system, like Amadeus Sales & Catering, when users change an inquiry or booking status to Turned Down, MeetingBroker will send an automatic email message to the customer contact in the booking. The user does not have the opportunity to customize the message like they would be able to do if they were not integrated. If you prefer for your users to send their own email message with personalized text, clear this check box. If you want the automatic email message from MeetingBroker to be sent, select this check box. |
Default Currency |
Choose the location's official currency. If you are integrated with a sales and catering system, the currencies in both systems must match. It is extremely important that you do not change this setting if the location has active channels and there is existing data. If the location has already received RFPs that were assigned the incorrect currency, contact Amadeus Support immediately for assistance. |
Email Only Property |
In special circumstances, above-property users need to send leads to places that should not actually log into MeetingBroker to respond or update the information. This setting should only be edited by an Amadeus professional or a subscription administrator. Learn more about email only locations. The Email Only Property field cannot be edited when standard MeetingBroker users are associated with the location. Only email-only users may be associated with the location. To clear the check box, you must first remove the access to this location from all standard MeetingBroker users. |
Default Time | Select the time zone for your location from the drop-down list. This will be applied to the date/time stamp applied to all transactions, and determines how your Hours of Operation (entered on the Details page) interact with escalation. |
Comments |
Enter any additional information about the location. These can be viewed by other users in the subscription if they click on a link with your location's name in MeetingBroker. |
Description |
Enter a description about your location. This is sometimes pulled into integrated applications. |
- Click Save or Save and Close.
