Add package other income items to bookings

When you add a package to a booking, you can also add the other income items that are offered with the package. An other income item generates revenue that is not included in the standard event and guestroom categories. For example, your Day Delegate Package might include complimentary parking and an afternoon of golf. Additional examples of other income items include spa, theater tickets, transportation, restaurant meals, and ski lift tickets.

When your administrator builds a package in Setup, they indicate how each other income item needs to be priced and how the quantity needs to be calculated. Those items that are included in the per person package price use the package attendance as the quantity. Items that are charged to the individual need to have the quantity manually entered.

To add package other income items to a booking

  1. On the Booking Package Attendance page, click Create Other Income Items.
  2. All the items included with the package are selected by default. Clear the check box next to any items you do not want to add.
  3. The Start Date and End Date default to the Attendance Day Type specified by your administrator. If you want the other income item to be added to additional days, extend the End Date.
  4. Click Create Other Income Items. The Booking Other Income page displays. All the other income items on the booking appear. The On a Package check box indicates which items are included in the per person package price. The quantity of those items is automatically controlled by the package attendance.
  5. Do one of the following:
    • If On a Package is selected for all the items, click Go Back to return to the Booking Package Attendance page. Then click Save and Close.
    • If On a Package is not selected, that item is charged to the Individual and not included in the per person package price. You need to manually enter the item quantity. Click the item name to open the Booking Other Income page and proceed with step 6.
  6. In the Price and Attendance grid, do the following:
    • In the Values For list, select the package associated with the other income item.
    • The Charge To field is set to Individual. This controls how the item is priced and how the quantity is calculated. If this other income item needs to be charged to the Master instead, you can update it here.
      • Master - The other income item is included in the per person package price. The quantity calculates automatically using the package attendance. The attendance fields in the Price and Attendance grid cannot be modified.
      • Individual - The other income item is not included in the per person package price. The quantity needs to be manually entered using the attendance fields in the Price and Attendance grid.
    • Update the Price for each day the group has requested the item. For items being charged to the Master, any changes to the price update the per person package price.
    • Enter the quantity of the item in the appropriate attendance fields. For example, a group of 50 guests are attending a seminar but only the 10 VIPs are playing golf. In this case, you need to enter 10 in the Agreed and Expected fields.

    If the other income item is being charged to the Master, the package attendance controls the quantity and the attendance fields are read-only. Any changes you make to the package attendance automatically update the quantity of the other income item.

  7. Click Save.
  8. Click the booking name to return to the booking.
