Associate other income items to booking packages
If you created an other income item on a booking and later want it to be part of a package, you can associate it.
If you haven't created the other income item yet, it's easier to create it from the Booking Package Attendance window.
To associate an other income item to a package
- In the Other Income section, click the other income item you want to associate to a package.
The On a Package check box is not selected for other income items that have been added to the booking outside of a package.
- In the Price and Attendance grid, do the following:
- In the Values For picklist, select the package you want to associate with the other income item.
- In the Charge To picklist, select the option that indicates how the item should be priced and how its quantity should be calculated. Learn more.
- Master - The other income item is rolled up into the per person package price. Its quantities are based on the package attendance and cannot be modified on this page. Revenue from this item is displayed as package revenue on the booking.
- Individual - The other income item is not included in the per person package price. Its quantities need to be manually entered on this page to reflect the agreed, expected, guaranteed, and actual numbers needed. Revenue from this item is displayed as non-package revenue on the booking.
- In the Attendance Day Type picklist, select how the other income item quantity should be calculated (applicable only to items being charged to the Master). Learn more.
-
Previous Day Attd - Use the package attendance that is set for the day before the item's consumption date.
- Day of Attd - Use the package attendance that is set for the item's consumption date. This is the option you will use most often.
- Next Day Attd -Use the package attendance that is set for the day after the item's consumption date.
- (Optional) Update the Price of the item. For items being charged to the Master, any changes to the price will update the per person package price accordingly.
- If the other income item is being charged to the Individual, enter the quantity of the item in the appropriate attendance fields. For example, a group of 50 guests will be attending a seminar but only the 10 VIPs will be playing golf. As such, you enter 10 in the Agreed and Expected fields. When you receive the group's final guarantee, you can then update the Guaranteed field accordingly. Finally, before you generate the final banquet check, you can enter the actual number of guests who played golf (if the actual exceeds the guarantee).
- If the other income item is being charged to the Master, the package attendance determines the quantity of the other income item and the attendance fields are read-only. Any changes you make to the package attendance will automatically update the other income item quantity.
- Click Save in the top-right corner of the grid.
- Click the Booking link to return to the booking.
