Enter pickup
The Enter Pickup tab lets you enter picked up rooms and rates for multiple bookings or volume contracts at one time. For group bookings, it also allows you to mark a room block Pickup Complete. This indicates that no additional guestrooms will be consumed on the room block. Once all room blocks on a booking are marked Pickup Complete, the Pickup Complete check box on the Booking page is automatically selected, and reports will reflect actual guestroom revenue rather than blocked revenue.
You can also enter pickup for a group room block using the Modify Room Block window.
If your property is integrated with a property management system, it may not be necessary to enter pickup or mark a room block pickup complete. For more information, contact your administrator.
Group pickup
As guestrooms are consumed for a booking, use the Group Pickup section to enter the pickup and rate for each day of the booking. The pickup is recorded against the appropriate room block and is rolled up into the booking's actual guestroom revenue. Once you have finished entering pickup, you can mark the room block Pickup Complete directly from the Enter Pickup tab. As soon as pickup has been completed for all room blocks on the booking, the booking itself is automatically marked Pickup Complete.
- Click the Enter Pickup tab.
- Click the Group Pickup tab.
- Select the appropriate Property and Start Date for the bookings you want to update.
- For each room type and day, enter the number of picked up rooms and the pickup rate.
If you need to enter pickup for a guestroom type that has not been added to the room block, click in the grid below the room block name, click Add Room Type, and make your selection. By default, room types are displayed in the order defined in Setup. If you prefer to see them displayed alphabetically instead, click next to the Select Room Type picklist.
- When you have finished entering pickup for the room block, click in the Pickup Complete column to display a check box. Select the check box to change the pickup status to Complete. If you need to make adjustments to a room block after pickup has been marked complete, you can clear the check box, update the numbers as needed, and then select the check box again.
Once pickup has been marked complete for all room blocks on a booking, the Pickup Complete check box is automatically selected on the Booking page.
- Click Save.
If multiple bookings are displayed, you can create additional space on the page by clicking the Minimize button next to the bookings whose details you want to hide.
Volume contract pickup
As guestrooms are consumed at the negotiated contract rate, use the Volume Contract Pickup section to enter the pickup and rate for each day. The pickup is recorded against the appropriate volume contract period and is rolled up into the volume contract's actual rooms, rate, and guestroom revenue.
- Click the Enter Pickup tab.
- Click the Volume Contract Pickup tab.
- Select the appropriate Owner, Property, and Date.
- Enter the number of picked up rooms and the pickup rate for each day of the contract, as needed.
If you need to enter pickup for a guestroom type that has not been added to the volume contract, click in the grid below the contract name, click Add Room Type, and make your selection. By default, room types are displayed in the order defined in Setup. If you prefer to see them displayed alphabetically instead, click next to the Select Room Type picklist.
- Click Save.
If multiple volume contracts are displayed, you can create additional space on the page by clicking the Minimize button next to the contracts whose details you want to hide.
Before you save, you'll notice red triangles in the upper-left corner of each field. These indicate unsaved changes and will disappear once you click Save.
