Set subscription preferences

Subscription administrators control several important options on the Subscription Preferences page, including settings that impact how assignment rules work and what location administrators are allowed to do.

To update your subscription preferences

  1. From the Subscription Administration Home page, click the Subscription tab and then click Preferences.
  2. Set the following subscription preferences as applicable:
Field Description
Default Lead Coordinator

Select the user who will be the Subscription Default Lead Coordinator (DLC). This user is the final stop for incoming leads. If a property's incoming RFP does not find a matching assignment rule and the location DLC field is blank, the Subscription DLC will receive the New RFP email message.

If you leave the MB Admin user in this field, New RFP messages will go to an unmonitored account. It's very important to complete this task.

Cookie Expiration Period

As of February 8, 2021, this field is not applicable. Users are required to reset passwords every 90 days.

Quick Create Refresh Session Enabled

If users send RFPs from the Quick Create Meetings page, selecting this check box prevents that page from timing out.

Subscription Email Address

This is the email address that will display in the From field of MeetingBroker's automatic email messages, like the New RFP notification.

  • The default address is subscriptionmanagement@newmarketinc.com.
  • If your organization prefers to use a different address, clear the Use Default Subscription Email Address check box. You can then enter your preferred email address in the Subscription Email Address field.

Automatic email notifications for new users, forgotten passwords, and new passwords will continue to be sent from the default address: subscriptionmanagement@newmarketinc.com

Use Default Subscription Email Address

Select to generate automated MeetingBroker email messages using the default email address: subscriptionmanagement @newmarketinc.com. Clear the check box to enter a different subscription email address.

Proxy All MeetingBroker Emails from This Address

Some email messages from MeetingBroker, such as the New Proposal and Reassigned RFP notifications, display the user's email address in the From field. If you do not want the user's email address to display, select the Proxy All MeetingBroker Emails from This Address option. The email addressed you entered in the Subscription Email Address will display instead.

Notify Business Owner on Less than Zero ADR

Select to alert users when the total number of non-complimentary guestrooms is greater than zero but the average daily rate (ADR) is not.

  • When MeetingBroker is not integrated with a sales and catering system, MeetingBroker users won't be able to save agreed business data when a discrepancy is identified.
  • When MeetingBroker is integrated with a sales and catering system, business data from all tentative and definite bookings will continue to be sent to MeetingBroker regardless of the discrepancy. An email notification is sent to the booking owner, alerting them to correct the problem in their sales and catering system.

If the guestrooms are indeed zero rate, the rooms should be categorized as complimentary. Otherwise, the user has made a data entry mistake that greatly impacts revenue reporting.

Use the Business Data Less Than Zero ADR report to identify RFPs with this issue and monitor data quality.

This setting does not apply to Simplified User Experience locations.

Subscription Assignment Rule Application

This setting determines how subscription rules are considered:

  • Apply First Qualifying Rule- When a new RFP is received, subscription rules are compared from the top down, and only the first matching rule is applied. With this configuration, you must prioritize the order of the rules to reflect your business needs.
  • Apply All Qualifying Rules-  When a new RFP is received, all matching subscription assignment rules are applied.

This setting is only applicable to subscription rules. All location RFP assignment rules use the Apply First Qualifying Rule method, and you are not able to adjust that setting.

Limit Location Administrator User Edit Access to Associated Locations Only

Select this check box to allow location administrators to edit only the users associated with their location. Clear the check box to allow location administrators to edit any user in the subscription.

Include Primary Contact on Turn Down Messages

An automatic email message goes to the sender of an RFP when the status is changed to Turned Down. If your organization also wants to automatically copy the RFP's primary contact (the customer) on the automated email message, select Yes.

If you select Yes, SUE users will have access to the Send Turn Down Email check box in their Turn Down window for all RFPs.

If you select No, SUE users will have access to the Send Turn Down Email check box only for RFPs from channels that do not include a sender. For channels that do include a sender (like Central Sales), SUE users will not have access to send the email to the contact.

Home Module Visibility

Select the tabs (Meetings, RFPs, and RFP Business Data) you want to be visible by default when new locations are created in MeetingBroker.

For example, if all of the properties in your subscription receive RFPs and will not be using MeetingBroker to send leads to other properties in the subscription, you can hide the Meetings tab to streamline their view.

After the location is created, if you want something other than the default setting, you can change it on the location's User Experience page.

User Experience

If you have properties in your subscription that are not integrated with a sales and catering system, you can give them the Simplified User Experience (SUE). After Amadeus has enabled your subscription for SUE, select Allow Simplified User Experience for Locations here, and then select Simplified User Experience on the Location Integration page for each SUE property.
