Clone bookings
When you work with repeat business, the easiest way to create future bookings is to clone an existing one. You can use the Clone Booking page to select which events and room blocks you want to copy to the new booking.
The following information is not copied into the new booking:
- Picked up guestrooms, rates, and revenue
- Room blocks with retired guestroom types
- Res ID on guestroom blocks
- Guaranteed, Set, and Actual attendance for booking events
- Activities
- Booking documents
- MeetingBroker data
The new departure, cutoff, and decision due dates are calculated based on the new booking's arrival date. The status of the new booking, and its events and room blocks, is set to Prospect.
With version R51 and higher, corporate administrators can enable the Exclude unmanaged fields when cloning bookings setting. This setting ensures that all custom fields, unless marked as required, are excluded from the cloning process.
To clone a booking
- Open the booking.
- Click Clone Booking.
- Enter the New Booking Name and Arrival Date for the new booking.
- Select the booking components to clone.
- Under Booking Events to Clone, select the booking events you want to copy to the new booking.
By default, only active events display on this page. To see the inactive events, select the Include Inactive Events checkbox.
- Under Guestroom Blocks to Clone, select the guestroom blocks to copy to the new booking.
If a room block has a retired guestroom type, the warning icon () displays. A warning message also displays at the top of the page. This warning message alerts you that the room block cannot be cloned and that you need to re-enter the information on the new booking. To access the booking's current details, click Recap. The Booking Recap displays, which you can use to re-create the room block on the new booking.
- Click Clone. The new booking page displays, and you can enter additional booking details. If any conflicts result from the cloning, a notification displays. Resolve the conflicts as needed. See Resolve booking event conflicts.
To clone a booking to a different property
With version R46 and higher, users can clone a booking to a different property. Before you clone a booking to a different property, consider the following:
-
Bookings cannot be cloned to Delphi Select properties.
-
Source and destination properties need to use the same base currency.
-
When a match exists between properties, including event classifications, function room names and setups, or guestroom names, the information is populated for you. Otherwise, events go to the Unassigned function room, and guestrooms go to Run of House.
