View booking details
The Booking page displays details about a booking's guestroom blocks, events, and revenue. All users at the property can view this information, add new activities to the booking, clone the booking, and enter transactions (charges or deposits). If you are the booking owner or are sourced on the booking, you can also edit the booking details, block guestrooms and function space, and add notes and attachments.
To open the Booking page, find the booking using the Search field at the top of any page, and then click the booking name.
The Booking Details page is customizable to suit the needs of your individual business. For this reason, you may have custom fields on your page that are not listed here, or there may be fields listed here that have been removed from your page. If you have concerns, please discuss with your Corporate Administrator.
To help you work with your bookings, the page is divided into several areas. Please select your salesforce experience for further details.
Booking Message | |
Message | Displays alerts related to changes made to the booking. For example, if you move a booking with events to a new date range, you will be notified if there are any function room conflicts. As you work on bookings, you should check the Booking Message area frequently to see if there are any issues that require your attention. |
Information | |
Booking Post As | The name of the booking as you want it to display in the contract and other documents. |
Abbreviation | The booking abbreviation which is displayed in the GRC report. By default, the abbreviation is the first 24 characters of the Booking Post As. |
Arrival/Departure | The booking's arrival and departure dates. |
Status | Indicates the stage of your agreement with the customer. Use the Change Status button to adjust.

Materialization % | The percentage of certainty that the booking will turn definite. Displays on the Availability page. |
Booked | The date the booking was created. This date is automatically set when you first save the booking. |
Owner | The user who created and/or owns the booking. The booking owner and any users who are sourced on the booking can edit the booking's information. |
Decision Due | Used for prospect and tentative bookings to remind you when to follow up to move the booking forward. When tentative, indicates the date by which the group should return the signed contract. This date is automatically calculated using the number entered in the Default Booking Decision Days field on the Property page. |
Cutoff Date | Used for definite bookings that have guestrooms. Indicates the date by which the group is required to finalize guestroom reservations (typically 30 days prior to the group's arrival). This date is automatically calculated using the number entered in the Default Booking Cutoff Days field on the Property page. If one of the room blocks on a booking is at a different property, that property's Default Booking Cutoff Days value will be used to calculate the room block's cutoff date. This means that a booking's cutoff date might differ from one or more of its room blocks. |
Last Status Date | The date of the booking's most recent status change. This is auto-populated when you save the booking. |
Customer Information | |
Account/Agency | The account or agency associated with the booking. |
Contact/Agent | The account's primary contact, or the agency's primary agent. |
Onsite Contact | The contact who will be present during the booking's events. |
Primary Inquiry | The name of the inquiry that the booking was created from (if applicable). The booking may have additional inquiries linked to it, which are displayed in the Inquiries section. See Add an inquiry to an existing booking using multi-link. |
Commissionable | If the booking is associated with an agency that will be receiving a commission for referring the group to your property, this check box is selected. |
Commission % | The commission percent awarded to the referring agency. The Commissionable check box must be selected. |
Segmentation | |
Market Segment | The market segment for the booking, which may be different from the account's market segment (for example, Corporate or Association). |
Booking Type | More specific than market segment, this further describes the kind of business (for example, Social, Wedding, or Conference). |
Meeting Class | Can be used to classify the business to something more specific than the booking type. |
Revenue Type | Indicates how the booking's revenue should be classified in Pace and Performance reports.

Lead Source | Indicates how the business learned about your property. |
Housing Method | The method the group will use to handle their guestroom reservations (for example, Individual Call-In or Rooming List). |

Gives your team members access to your bookings. Use each field to assign the booking to the appropriate user. This user will be allowed to edit the booking, including its guestrooms and events. They may also be able to delete events on the booking if this option has been enabled in your org. Your administrator can activate workflows that trigger reminders and assign activities to the individuals sourced on a booking (not just the booking owner). For example, you could have a workflow to call for the final guarantee three days prior to arrival and assign that task to the user listed in the Catering Manager field. You could have another workflow for the Additional Sales Manager to send a welcome email one day prior to arrival. |

Pickup Complete | This check box is automatically selected once the Pickup Complete check box has been selected for every room block on the booking. If your property is integrated with a property management system (PMS), room block pickup will be automatically entered for you. |

Forecasted Revenue | Each revenue classification displays the total forecasted revenue from all the booking events (non-package and package). Non-Package Events Forecasted Revenue = (Expected Attendance * Average Check) + (Other Income Booked Revenue Total) The above calculation assumes that the Avg Check Factor is set to Per Person. If this is changed to Per Event, attendance does not factor into the calculation. For example, if the Forecasted Rental Avg Check is 750.00 and the Rental Avg Check Factor is Per Event, the Forecasted Rental Revenue is 750.00. Average check values default from the event classification assigned to each booking event. RFP Information The following read-only section is only applicable to properties that are integrated with MeetingBroker. The RFP information shown is for the booking's primary inquiry. |

MeetingBroker RFP ID | The unique identifier assigned to the RFP by MeetingBroker. |
RFP Channel | The name of the channel that sent the RFP. |
MeetingBroker Reference Number | An additional ID provided by the channel. |

The current milestone achieved by the RFP in MeetingBroker.

Proposal Created Date | The date a proposal was sent for the RFP. |
Lost Business Information | |

When the status of the booking is changed to Lost, Cancelled, or Turned Down, this section displays information about the lost business. The Lost Reason field is required to save a lost booking. If linked to MeetingBroker, the lost reason is sent back to Cvent, SpeedRFP, SignUp4, CVBs, and Central Sales (formerly known as Connex - used by above property sales offices). As of R40, lost comments are also sent back to Cvent and Central Sales, saving you the step of sending a separate email. |
Function Diary | |
Inline Function Diary | If your administrator has enabled the Booking filter button, the Diary will be automatically filtered for the current booking. All other booking events will be displayed as shadows. This allows you to focus on your booking's event details while still alerting you that other events are blocking space at the property during the same time period. If the Booking filter button has not been enabled, the Diary will display all events that are blocking space. Each time you view the Function Diary, double-check the Function Room Group filters that are being applied. You may need to change those filters to get a complete picture of all the events that are holding space at the property. The system remembers the last function room groups that were selected and automatically applies those filters the next time you open the Diary. |
Related Lists The following related lists display records associated with the booking. Listed alphabetically. The order on your Booking page may vary. |

Activity History | Displays logged calls, sent emails, and other completed tasks and appointments associated with the booking. See Overview: Activities. |
Batch Merges | Displays batch merge documents that were created from the booking. |
Booking Documents | Displays a record of each event order or banquet check that was merged from the booking. See Overview: Booking documents. Other documents that are merged from the booking (for example, contracts) are displayed in the Notes & Attachments section. |
Booking Events | Displays a list of the booking's events and lets you edit and remove existing events. |
Booking History | Displays an audit trail of changes made to the booking. You can see the date of the change, who made it, and what action was taken. |
Booking Other Incomes | Lets you add, edit, and remove other income items on the booking. |
Booking Package | Lets you add a package to a booking and manage its attendance and services (events, guestrooms, and other income items). See Overview: Booking packages. |
Booking Terms and Conditions | Lets you add, edit, and remove terms and conditions that are displayed in customer-facing documents. |
Inquiries | Displays all the inquiries linked to the booking. The inquiry that was used to create the booking is automatically designated as the primary inquiry; however, this can be changed using the Make Primary button. To link additional inquiries to the booking, use the Link Inquiry button. To remove one or more inquiries from the booking, click the Unlink Inquiries button. Notes & Attachments | Lets you add notes and attachments related to the booking. Also displays other documents (for example, contracts) that were merged from the booking. See Overview: Booking documents. Event orders and banquet checks for the booking are displayed in the Booking Documents section. |

As entries are recorded using the Deposits section, the Transactions Balance section displays the total charges and payments for the booking, as well as the current balance due. |
Activity Tab | |
Upcoming & Overdue | Displays the outstanding tasks and appointments that have been created for the booking. Once a task has been completed or an appointment has occurred, it is moved to the Activity History section. See Overview: Activities. |
Activity History | Displays logged calls, sent emails, and other completed tasks and appointments associated with the booking. See Overview: Activities. |
Chatter Tab | |
Chatter | Displays internal Chatter communication and updates pertaining to the booking. |
Related Tab - Inquiries | |
Inquiries | Displays all the inquiries linked to the booking. The inquiry that was used to create the booking is automatically designated as the primary inquiry; however, this can be changed using the Make Primary button. To link additional inquiries to the booking, use the Link Inquiry button. To remove one or more inquiries from the booking, click the Unlink Inquiries button. Related Tab - Booking History | |
Booking History | Displays an audit trail of changes made to the booking. You can see the date of the change, who made it, and what action was taken. |
