View booking details
The content of this page is specific to the Delphi product type. If you are using the Delphi Core product type, click here to access the Delphi Core-specific online help.
The Booking page displays details about a booking's guestroom blocks, events, and revenue. All users at the property can view this information, add new activities to the booking, and enter transactions. The booking owner or users sourced on the booking can also edit booking details, block guestrooms and function space, and add notes and attachments.
To open the Booking page, find the booking using the Search field at the top of any page, and then click the booking name.
The Booking Details page is customizable to meet your business needs. For this reason, you might have custom fields on your page that are not listed here. There might also be fields listed here that no longer exist on your page. For more information, see your corporate administrator.
To help you work with your bookings, the page is divided into several areas. Select your Salesforce experience for further details.

Booking message details | |
Message | This displays alerts related to changes made to the booking. Check the Booking Message area often to see if any issues require your attention. |
Information details | |
Booking Post As | This is the name of the booking as you want it to display in the contract and other documents. |
Abbreviation | This is the booking abbreviation that displays in the GRC report. By default, the abbreviation is the first 24 characters of the Booking Post As. |
Arrival and Departure dates | These are the booking's arrival and departure dates. |
Status | This indicates the stage of your agreement with the customer. Use the Change Status button to adjust this value.

Materialization % | This is the probability that the booking could turn definite. This value displays on the Availability page. |
Booked | This is the date the booking was created. This date is automatically set when you first save the booking. |
Owner or Owning User | This is the user who created or owns the booking. The booking owner and any users who are sourced on the booking can edit the booking's information. |
Decision Due | This can be used as a reminder to follow up with the booking. This can indicate the date the signed contract is due. This date is automatically calculated using the number entered in the Default Booking Decision Days field on the Property page. |
Cutoff Date | This is used for definite bookings that have guestrooms. This can indicate the date the group is required to finalize guestroom reservations. This date is automatically calculated using the number entered in the Default Booking Cutoff Days field on the Property page. The most common value for this field is 30 days before arrival. If one of the room blocks on a booking is at a different property, that property's Default Booking Cutoff Days value is used to calculate the room block's cutoff date. This means that a booking's cutoff date might differ from one or more of its room blocks. |
Last Status Date | This is the date of the booking's most recent status change. This is automatically populated when you save the booking. |
Customer information details | |
Account and Agency | This is the account or agency associated with the booking. |
Contact and Agent | This is the account's primary contact, or the agency's primary agent. |
Onsite Contact | This is the contact who is present during the booking's events. |
Primary Inquiry | This is the name of the inquiry that the booking was created from, if applicable. The booking can have additional inquiries linked to it, which display in the Inquiries section. See Add an inquiry to an existing booking using multi-link. |
Commissionable | If the booking is associated with an agency that receives a commission for referring the group to your property, this checkbox is selected. |
Commission % | When the Commissionable checkbox is selected, this is the commission percent awarded to the referring agency. |
Segmentation details | |
Market Segment | This is the market segment for the booking, which can be different from the account's market segment. |
Booking Type | This is more specific than the market segment and can further describe the group's business. |
Meeting Class | This can be used to classify the business to something more specific than the booking type. |
Revenue Type | This indicates how the booking's revenue is classified in Pace and Performance reports.

Lead Source | This indicates how the business learned about your property. |
Housing Method | This is the method the group uses to handle their guestroom reservations. |

These fields can be used to give your team members access to your bookings. Use each field to assign the booking to the appropriate users. These users are allowed to edit the booking, including the guestrooms and events. They can also delete events on the booking if this option is enabled in your org. Your administrator can activate processes that trigger reminder tasks and assign activities to the individuals sourced on a booking, not just the booking owner. |
Comments details | |
Comments area | This is additional information to help the booking owner and other users who are sourced on the booking manage the business. |
Billing information details | |
All fields | These fields indicate how the group handles billing arrangements and any billing-related comments for the booking. |
Guestrooms details | |
Pickup Complete | This checkbox is automatically selected after the Pickup Complete checkbox is selected for every room block on the booking. A room block can be marked Pickup Complete on the Enter Pickup page or in the Modify Room Block window. See Mark room blocks pickup complete. If your property integrates with a property management system (PMS), room block pickup is automatically entered for you. |
Guestrooms grid | This is a summary of the booking's guestrooms. For more information, see Overview: Guestrooms. To modify the taxes applied to a room block, see Modify room blocks. |

Booking Events grid | This is a summary of the booking's events. For more information, see Manage booking events. |
Diagrams details | |
All fields | When your property integrates with Delphi Diagramming, this displays a list of events with diagrams. To edit the diagram, click Open AHD Diagram. If your property does not integrate with Delphi Diagramming, this section does not display. |
Resume details | |

This section provides instructions that need to be distributed to each operational department to prepare for the group's arrival. This does not include information on the BEO. Likewise, this information does not display on the BEO. |
Rooms & revenue totals (calculated) details As guestrooms and booking events are added and modified, the revenue totals in this section are updated to display the booking's total forecasted and actual revenue. The information in this section is read-only. |

Total Roomnights <Attendance value> | These fields display the total number of Agreed, Forecasted, Blocked, and Picked Up rooms. These values are calculated as you add and modify room blocks. |
<Attendance value> Guestroom Revenue Total | These fields display the total number of rooms multiplied by the room rate.

Forecasted <classification> Revenue |
Each revenue classification displays the total forecasted revenue from all booking events.
If the Expected values are not entered, the Agreed values are used instead. |
Actual <classification> Revenue |
Each revenue classification displays the total actual revenue from all booking events.

Blended Guestroom Revenue | When a room block is marked pickup complete, the pickup guestroom revenue is used to calculate the blended revenue. Otherwise, the blocked revenue is used. |
Blended Event Revenue | When a booking event is marked done, the actual revenue is used to calculate the blended revenue. Otherwise, the forecasted revenue is used. |

RFP information details The following read-only section is only applicable to properties that integrate with MeetingBroker. The RFP information that displays is for the booking's primary inquiry. |

MeetingBroker RFP ID | This is the unique identifier assigned to the RFP by MeetingBroker. |
RFP Channel | This is the name of the channel that sent the RFP. |
MeetingBroker Reference Number | This is an additional ID provided by the channel. |
RFP Status | This is the current status of the RFP in MeetingBroker. The following describes each status in detail.

RFP Milestone | This is the current milestone achieved by the RFP in MeetingBroker. The following describes each milestone in detail.

Proposal Created Date | This is the date a proposal was sent for the RFP. |
Lost business information details | |

When the status of the booking is changed to lost, cancelled, or turned down, this section displays information about the lost business. The Lost Reason field is required to save a lost booking. If linked to MeetingBroker, the lost reason is sent back to Cvent, SpeedRFP, SignUp4, CVBs, and Central Sales. With version R40 and higher, lost comments are also sent back to Cvent and Central Sales. |
Related list details The following related lists display records associated with the booking. The order of the lists displayed on your Booking page can vary. |

Activity History | This displays logged calls, sent emails, and other completed tasks and appointments associated with the booking. See Overview: Activities. |
Batch Merges | This displays batch merge documents created from the booking. |
Booking Documents | This displays a record of each event order or banquet check merged from the booking. See Overview: Booking documents. Other documents merged from the booking display in the Notes & Attachments section. |
Booking Events | This displays a list of the booking's events. You can use this section to edit and remove existing events. |
Booking History | This displays an audit trail of changes made to the booking. You can see the date of the change, who made the change, and the action taken. |
Booking Other Incomes | This displays the other income items on the booking. You can use this list to add, edit, and remove other income items on the booking. |
Booking Package | This displays any packages on the booking. You can use this list to add a package to the booking and manage the attendance and services. See Overview: Booking packages. |
Booking Terms and Conditions | This displays any terms and conditions on the booking. You can use this list to add, edit, and remove terms and conditions that display in customer-facing documents. |
Inquiries | This displays any inquiries linked to the booking. The inquiry used to create the booking is automatically designated as the primary inquiry, but this value can be changed. See Add an inquiry to an existing booking. |
Notes & Attachments | This displays any notes and attachments related to the booking. This also displays any documents merged from the booking. Event orders and banquet checks for the booking display in the Booking Documents section. |
Open Activities | This displays the outstanding tasks and appointments created for the booking. After a task is complete or an appointment occurs, it moves to the Activity History related list. See Overview: Activities. |
Room Blocks | This displays a list of the booking's room blocks. You can use this list to edit and remove existing room blocks. |
Transactions | This displays all records of deposits and payments for the booking. The booking's current balance displays in the Transactions Balance section. The information in this section can be merged into documents like contracts, the resume, and the booking check. Deposits entered on the Booking Event page display on the banquet check. |
