R31

Fixed issues

CR0121902: Package information is no longer duplicated when you batch merge BEOs that include the Package Summary All Fields template part.

CR0128006: For properties that use enhanced taxes, the InclusiveFunctionRoomRental merge field (Insert Template Part Fields > Event Fields) now displays rental inclusive of tax in Advanced Booking documents.

CR0128309: Properties that use enhanced taxes can update the tables in their Advanced Booking documents to display guestrooms, packages, and other income inclusive of tax. To implement this change in your Advanced Booking documents, you need to update your merge templates. The steps you follow differ depending on whether or not you've customized the tables in your existing templates.

R31 P1

New report viewer and enhanced GRC

In this release we've introduced a powerful new report viewer that gives you immediate access to enhanced reports the moment they become available. We know how much you rely on the GRC report, so we made that one our top priority. Check it out as a special Preview Report on the Amadeus Reports tab after R31 has been installed in your org. We think you'll really like how fast it runs and all the new tools that help you work with its data, including the ability to export to Excel, PDF, and a host of other formats.

Later, as we begin rolling out more reports, you'll see improvements to other favorites as well as some new additions. The best part is you don't have to wait for a release to access the new reports—they'll just display on the Amadeus Reports tab as soon as they're ready.

The report viewer feature is automatically enabled as part of your upgrade to R31.

Fixed issues

CR0129595, CR0121992: When the booking owner is inactive, users who are sourced on the booking, users with Edit All Records access at the property, and PMS integrations can now create child records (for example, booking events, room blocks, other income items, and reservations) on that booking.

Maestro, SMS, Rover, HMS, IDPMS, and SIHOT PMS integrations

CR0131336: When the PMS sends an InventorySync message that includes new Run Of House (ROH) values, the ROH values are no longer doubled. Instead, the room block is updated accordingly, and ROH continues to calculate correctly as the sum total of all room types. This ensures that accurate numbers are displayed on the Availability page.

Opera PMS integrations

CR0130001, CR0130502: When a Prospect room block is sent to Opera, the status of that room block in the PMS is now also Prospect. Additionally, prospect room blocks are no longer displayed as false discrepancies in the View Discrepancies report.

CR0130257: When a booking has multiple room blocks at different properties and those room blocks share the same PMS ID, the Send Blocks/Bookings button on the Property Integration Settings page now only sends that property's room block to Opera. The other room blocks on the booking are not sent until the Send Blocks/Bookings button is clicked at their respective properties.

CR0130765: When two event only bookings—one in the past and one in the future—share the same PMS ID, you no longer receive the following error message when the future booking is sent to the PMS via the Send Blocks/Bookings button on the Property Integration Settings page: “The room block or booking is not in the valid date range for sending.”

CR0131016: Cancelling a booking at one property no longer cancels room blocks with the same Res ID at other properties in the org.

R30

New features and enhancements

There are no new features or enhancements in R30.

Fixed issues

MeetingBroker integration

CR0128009: When a MeetingBroker RFP is converted to an inquiry, the room block is now created using the RFP’s Check-In Date rather than the Start Date.

Merge documents

CR0130369: Properties that have enabled My Domain along with the Salesforce Spring ’18 critical updates can now merge and batch merge documents without receiving error messages.

PMS integrations

Maestro, SMS, Rover, HMS, IDPMS, and SIHOT PMS

CR0122726: The MarkPickupComplete processor now excludes any room blocks that are not linked to a room block in the PMS. This improves the performance of the processor, decreases the number of log entries that are created, and ensures that all linked room blocks are correctly marked pickup complete.

R29

New features and enhancements

None of the R29 features require enabling—you can begin using them right away.

Enhanced user management (CR0126877, CR0127103)

Let’s face it—users come and go all the time. If you’re managing a large number of properties in your org, you need a fast, efficient way to stay on top of this turnaround. With R29, we’re pleased to provide you with a brand new user management experience that lets you assign properties and permission sets to your users—all from one central location.

When you open the User page, you’ll see a new Manage User Property Access link. This opens the User Property Access page where you can view all the users in your org along with their assigned properties and permission sets. Click the Edit icon next to a user to assign them the appropriate properties and permission sets. You can even assign the user a default property instead of relying on them to do so. In just a few steps, you’ll be able to complete what used to be a time-consuming process requiring visits to multiple windows.

By the way, we've updated how we describe the different access levels that are available at a property:

We hope this approach is more intuitive and clears up any confusion related to how the different access levels work.

If you’re onboarding new users, you may find it helpful to filter the user list to show only those users without property access. You can then use the Multi-Edit Properties, Multi-Edit Permission Sets, and Multi-Edit Default Properties buttons to simultaneously assign the appropriate permissions to those users. This streamlined workflow saves you from having to perform the same repetitive tasks for each and every user—that’s time right back in your day.

Also included with this feature is the new Property/User Recap report. This report is a great audit tool because it shows a list of all properties in the org and the users assigned to those properties. It also shows any discrepancies if there are problems in how a user is granted access to a property. Check out the end of the report to see a description of each type of problem. You can then click that user’s name to fix the issue without missing a beat.

Bookings

CR0121863: When you copy a definite booking, the following information is no longer copied to the new booking: Date Definite, Date Tentative, Status Change Date, and Last Status Change.

CR0128049: The Copy Events button on the Booking page has been renamed Manage Events, providing you with a more intuitive workflow.

Events and BEOs

CR0126758: When you select a function room for a new event, that room’s default setup now auto-populates the event when you save. Note: If the event classification also has a default setup, that setup will “trump” the function room’s default on the event.

PMS integrations

Opera PMS

CR0128133: When an integration message fails, the task that is created and assigned to the booking owner now includes a link to the booking rather than the PMS room block.

Maestro, SMS, and Rover PMS

CR0130550: A “MarkAsLinked” error message is no longer logged when an event only booking is sent to the PMS.

CR0130538: Room blocks that have been expanded up to 200 room nights can now be updated by the PMS without generating an error message.

CR0130812, CR0130600: Deleting an existing room type from a room block now successfully sends an outbound message to the PMS.

CR0130197: Invalid room types in an InventorySync message are now separated with a pipe (|) character, making it easier to differentiate between them.

CR0130707: The batch size of outbound notifications to the PMS can now be configured in Amadeus Settings to allow Amadeus Support to control the number of PMS-related object notifications and outbound messages that are being processed simultaneously (typically used for purposes of troubleshooting and clearing out backlogged messages).

R28

New features and enhancements

Sourced users can delete events on bookings (CR0122203, CR0122036)

When the Sales Managers at your property create a booking, they may initially block function space by creating temporary placeholder events. These generic events ensure that space is reserved for the group before the contract is signed. After the booking turns definite and is handed off to a Catering or Service Manager for execution, that person needs to create the group’s actual events. But what happens to the existing placeholder events that shouldn’t display on the contract or BEO? Before R28, their only recourse was to cancel those events because they didn’t have permissions to delete them. Now your corporate administrator can enable an org-wide option on the Amadeus Settings tab that allows anyone who owns or is sourced on a booking to delete its events. This not only decreases the number of unnecessary events on a booking, but it also significantly streamlines your booking process by giving all users the access they need to manage the business to completion. Item indicators on events (CR0130524)

Like most hospitality professionals, you’re no stranger to fast-paced days and frequent interruptions. How many times have you had to stop detailing an event program to answer the phone, reply to an email, or answer someone’s question? Losing track of what you’ve already done can be frustrating and time consuming—especially when you have to open multiple events to figure out which ones have items and which don’t. With the new item indicators in R28, you can quickly scan the Manage Events grid and determine which events still need to be detailed. If an event has items on it, you’ll see a solid blue circle next to it. A hollow blue circle means there are no items on the event.

If you’d like even more information, you can also add the optional Total Event Items column to the Manage Events grid. This is helpful when you know a particular event should have a certain number of items on it—for example, your standard meeting always includes an LCD projector, microphone, standing podium, and water station. When you see a “4” in the Total Event Items column, you’ll know that meeting has been completely detailed.

Each item associated with a detailed menu is counted individually. This feature also applies to items that default from event classifications.

Logical ordering of menus and items

CR0122384, CR0122385: When you add menus and items to an event, you typically do so in the order you want them to display on the BEO (for example, Salad, Entrée, and then Dessert). This logical sequence is now preserved, rather than displaying the menus and items in alphabetical order. You’ll see this change reflected on the Manage Menus and Items page, as well as in the printed BEO and banquet check.

More properties in a single Salesforce org

Before R28, a single Salesforce org could support up to 300 properties. This was a limitation for our enterprise customers who have more than 300 properties but want to avoid managing multiple orgs. In an effort to address this need, R28 now allows up to 999 properties to exist in a single org. This not only decreases the complexities involved with configuring multiple orgs, but it also improves reporting capabilities since data only needs to be aggregated within a single org.

This feature requires several org-wide configuration changes, including disabling the use of Salesforce picklists and adding a new VisualForce section to the following page layouts: Booking, Inquiry, Volume Contract, Booking Event, Change Log, and Setup Value. Lost Business fields in the Change Status window (CR0127441, CR0129587)

Properties that use the Change Status window to manage their booking statuses can also use this window to provide lost business details. When you change the status of a booking to Lost, Cancelled, or Turned Down, the following fields are now displayed: Lost Reason, Lost to Competitor, Lost to City, and Lost Comments. Simply complete those fields and save—the Booking page displays your changes. You no longer need to change the booking status in one place and then complete the Lost fields in another—now you can do it all from a single location.

More values supported in the Lost to Competitor picklist (CR0127441, CR0129587)

Before R28, the supported number of values in the Lost to Competitor list was 1,000. This was problematic for large orgs with hundreds of properties that wanted to add their own local competitors for tracking purposes. With a bit of configuration, customers on R28 can now add as many as 200 competitors per property.

Increased number of values in multi-select picklists (CR0130140)

Multi-select picklists can now include up to 500 values.

Delphi Diagramming integration and event attendance (CR0130346)

Properties that are integrated with Delphi Diagramming can now take advantage of a new feature that uses the event’s attendance—rather than the function room’s maximum capacity—to create room plans.

Simply enter the event attendance in Delphi, and Delphi Diagramming uses that value to set the appropriate number of seats. This makes it easy to personalize your function space for potential customers and provide your operations team with the details they need to successfully execute the event.

Delphi Diagramming uses the Set attendance to create room plans. If Set isn’t entered for the event, Guaranteed is used, and then Agreed. Note that Expected attendance is never used. This gives you the flexibility to change the Expected value for accurate forecasting without affecting the room plan.

After a room plan is created, any changes you make to the event in Delphi are not reflected in Delphi Diagramming and vice versa.

Improved eProposals for MeetingBroker bookings (CR0121709, CR0126937)

If your property is integrated with both Cendyn eProposal and MeetingBroker, clicking the Send Proposal button on the Booking page now provides the following two options:

To enable this org-wide feature, your corporate administrator needs to select the Enable eProposal Direct for MeetingBroker Bookings option on the Amadeus Settings page. Your MeetingBroker location administrator also needs to perform a few steps to bypass the proposal choice so users aren't asked twice if they want to send an eProposal. See Enable users to go directly to eProposal.

RFP Recap Comment fields (CR0127260)

Some channels, such as Central Sales and SpeedRFP, allow the sender to send comments that are specific to a guestroom day. These comments can contain details that help your property determine whether you need to bid or not, and help you block appropriate room types when creating a booking. To make this information more readily available, by-day guestroom comments have been added to the RFP Recap, and a new RFP Comments section has been added to the RFP Inquiry page and the Create Booking from Inquiry page.

Revenue management system integrations (CR0127457)

If your property uses a revenue management system (such as IDeaS) to evaluate bookings for guestroom and function space pricing, you can now integrate that system with Delphi. This allows you to request a revenue analysis for a booking directly from Delphi and saves you having to enter duplicate data in both systems.

Maestro, SMS, and Rover PMS integrations

When the PMS adds a new room type to an existing room block, the rate entered for the Run of House (ROH) room type will be applied to this new room type on a day by day basis. If no rate has been entered for ROH, the rate for the new room type will be 0.00. Previously, the ROH rate was applied to the new room type, but if the rate varied by day, only the first night’s rate was applied to all dates.

CR0128355: A booking’s default terms and conditions can now be displayed in alternate languages—not just English.

CR0130195: The Inclusive option has been restored in the Add/Change Rates window which is accessed from the Room Block Details page.

Events and BEOs

CR0122136: When you edit the formatting of a menu or item description on the Manage Menus and Items page, your changes are now reflected on the printed BEO.

MeetingBroker integration

CR0129844: Inquiries can now be created from RFPs with large teams (list of users exceeds 255 characters).

Merge and reports

CR0121767: Revenue rounding discrepancies have been resolved in the booking check and banquet check, as well as the Banquet Check Revenue Summary report.

PMS integrations

Opera PMS

CR0130043: We can now generate outbound allotment messages that contain 500+ roomnights within the required 10 seconds per transaction.

Maestro, SMS, and Rover PMS

CR0130128: The External ID has been restored on the Room Block Details page. This update is needed to send test room blocks to the PMS (before a PMS ID being assigned).

Setup

CR0122450, CR0122739: Access to edit the Amadeus Settings tab is now restricted to corporate administrators with one exception—the Availability Settings page is also accessible to property administrators.

Global updates

The following updates have been made to areas outside of Delphi and are available in all releases based on the effective date listed. For information on release-specific updates, see Overview: Release notes and feature enablement.

New reports

We've added four new reports to the Preview Reports section of the Amadeus Reports tab: Activity, Account Listing, Contact Listing, and Top Accounts. To take advantage of these new reports, you'll need to have R31 installed. If you haven't upgraded yet, please contact Amadeus Support, and they'll get you up and running in no time.

BEO Guarantee in batch merged BEOs (CR0122640)

When a BEO template includes the BEO Guarantee merge field in its header or footer, that information now displays when BEOs are batch merged.
