Amadeus Settings

The Amadeus Settings page includes a variety of controls and utilities. Several are used only by Amadeus Support, whereas others are for Corporate Administrators to customize org-wide options. Consider carefully before modifying any options on this page, as they impact all users at all properties.

Corporate Administrator Configuration Options

Populate Custom Settings* Used to create or update Salesforce custom settings, such as the merge service and VisualForce Reports, after upgrades or org changes. Do not use unless instructed by an Amadeus Representative.
Create Picklist Mappings* Creates picklist mappings. It is typically used after a new property is created or by Amadeus Support after upgrades or org changes. Do not use unless instructed by an Amadeus Representative.
Enable / Disable Triggers* Manually adjusts triggers. Do not use unless instructed by an Amadeus Representative.
Enable property-level security* Controls public security settings for accounts and properties. Do not modify these settings. Making modifications here in an existing org can seriously impact data. Do not use unless instructed by an Amadeus Representative.
User Property Access Assigns property access, permission sets and default properties to users from one central location.
Setup Values Adds, removes, or modifies picklist values, such as Market Segments, Lead Sources, and so on.
Replace Setup Values Replaces setup values on existing records after a migration or an update to existing setup values.

Corporate administrators have access to this by default. If you want a property administrator to be able to assist with the cleanup after a migration, give them the Replace Setup Values permission set in their user profile.

Reassign Owners Reassign owners on accounts, bookings, tasks and appointments.
Recreate Snapshots by Property* Deletes and recreates the baseline Business snapshot data that is used in Performance reporting. Do not use unless instructed by an Amadeus Representative.
Manage Merge Fields Adds fields to the Amadeus Merge Tool.
Enable enhanced booking event conflict checking* Improves the performance of conflict checking for very large databases by storing the function room inventory in a dedicated table. Do not use unless instructed by an Amadeus Representative.
Refresh function room associations* Refreshes function rooms if modifications to function rooms were made in the application but were not displaying correctly in the Function Diary. Do not use unless instructed by an Amadeus Representative.
Index Setup Values* Allows searches on the Setup Values data table in Large Data Volume organizations. Do not use unless instructed by an Amadeus Representative.
Enable Enhanced Taxes and Inclusive Pricing Allows enhanced taxes and inclusive pricing.

If your org was created prior to R21, you can use this option to enable enhanced taxes to streamline the process for entering and managing property taxes.

If your org was created on R21 or higher, enhanced taxes were enabled by default.

Inclusive Pricing

If your property quotes rates inclusive of tax and service charge, you'll want to enable Inclusive Pricing. This option will display the inclusive fields throughout the application.

Availability Settings Configures the Availability settings so the availability page shows certain booking details and color settings.

For example, you can add the Catering Manager name to the tool tip of an event in the diary. The options on this page are initially set at the corporate level and default to all properties in the org. When users open the Availability page, they'll see the options that have been set for their default property.

System Purge Deletes older system object records on a rolling basis.

As part of normal system processing, Salesforce stores records in internal system objects for tracking (Object Notifications, Log Entries, and Messages). This utility ensures that the system only keeps the minimum number of records in these objects.

To check the amount of storage that is being used in every object, access the System Overview page in Setup. If you see that the Object Notifications, Log Entries, and/or Messages objects are using a large amount of storage, please contact Amadeus Support for assistance.
Disable Amadeus Security Log Disables the Amadeus Security Log. Disabling will stop key changes to the system being tracked. This tracking information is critical for determining when system changes happened should an unexpected event occur. As a result, we do not recommend disabling the Amadeus Security Log. If you do wish to disable it, you can choose to do so at your own risk.
Background Recalculation Settings These settings allow guestroom type day updates, object notification generation and merge jobs to happen in the background when exceeding a certain threshold.
Org-Wide Default Settings

Set the default property for your org If your org has more than one property, a Corporate administrator can specify the property to use as a default if a user hasn't selected a default property on the Amadeus User Settings page. This property will be displayed when users open the Availability Page or Enter Pickup page, and when they create new inquiries, bookings, and volume contracts. It will also be automatically added to new accounts if the Automatically Assign Default Property Account option has been enabled for the org.
Force BEO and Banquet Check to PDF Removes the Microsoft Word option and makes PDF the default document type when merging BEOs and Banquet Checks. This applies to both the Create Merge Document and the Create Batch Merge Document pages.
Allow menu and item description justification Displays or hides the justification buttons on the Editing Item Detail, Edit Description, and Item Details pages.
  • When selected, menu and item descriptions in the merged BEO will reflect the formatting applied in the Description field.
  • When this option is cleared, menu and item descriptions in the merged BEO will be formatted according to the merge template.
Exclude unmanaged fields when cloning bookings When selected, the information in all custom fields, unless marked as required, will be excluded during the booking cloning process.
Enable room block shortcuts Enables the following keyboard shortcuts in the Room Block Details window:
  • Ctrl+B - Copies the rooms and rates from a selected room type and day to the rest of the pattern.
  • Ctrl+Shift+B - Copies the selected row, for example, Blocked, to the rest of the pattern.
  • Ctrl+S - Saves changes.
The shortcuts apply to the Agreed, Forecasted and Blocked rows, but not to the Pickup row.
Enable Function Room Rental Shortcuts Displays the default rental amount in the function room picklist when a user selects a function room in the event grid. The default rental amount will also automatically populate the function room rental amount. In addition, the rental amount is copied to the forecasted rental field to allow for accurate forecasting.

If you want to enable this feature in an org created before R33, the Corporate administrator must first review and disable any workflows that copy the function room rental amount to the forecasted rental amount. Learn more here.

Allow users to delete events on bookings they own or are sourced on Allows anyone who owns or is sourced on a booking to delete its events. This not only decreases the number of unnecessary events on a booking, but it also streamlines the booking process by giving users the access they need to manage the business to completion.
Allow Property Administrators to create new properties Grants all property administrators access to create properties. Corporate administrators automatically have this access.
Enable eProposal direct for MeetingBroker bookings Allows you to choose whether to go directly to eProposal when you click the Send Proposal button on the Booking page. To use this, your property must be integrated with both Cendyn eProposal and MeetingBroker.

When the feature is enabled, you can:

  • Send an eProposal - Select this option if the RFP is from a channel that does not have its own proposal page. This functionality has been updated to ensure that information is mapped correctly from the booking to the eProposal.
  • Respond to MeetingBroker - Select this option if the RFP is from Cvent or another channel that has its own proposal page.

After this feature is enabled, a MeetingBroker Location Administrator also needs to perform a few steps to bypass the proposal choice, so that users aren't asked twice if they want to send an eProposal.

Enable users to go directly to eProposal.
Keep setup value lookup and picklist fields in sync (requires indexed setup values)* To improve application stability and performance in larger orgs, this setting converts picklist values to lookups, which eliminates Salesforce picklist processing. Do not use unless instructed by an Amadeus Representative.
Disable default Delphi Select setup value creation on property create Allows corporate administrators of multi-module orgs to restrict the creation of default property setup values when a new Delphi Select location is created.

When the feature is enabled, the only property setup values that are created are event classifications.

Disable creation of Delphi Select property setup values by Property Admins Allows corporate administrators of multi-module orgs to restrict Delphi Select property administrators from creating their own property setup values.

When the feature is enabled, only the corporate administrator can add values for the properties in the environment. The option to create new values is no longer available to anyone who does not have corporate administrator access.

Enable New Manage Guestroom User Experience Enables the redesigned user interface for product pages that are related to room block management.
  • When selected, the enhanced Manage Guestrooms, Enter Pickup, and inline Guestroom component (on the Booking page) will be the default experience for all users.
  • When this option is cleared, the experience will revert back to the classic design that is familiar to users on versions lower than R49.
This feature requires R49 or later.
Enable Availability Integration Prepares the organization to establish connections with external availability sources. To finalize the configuration, please contact Amadeus Support. To learn more about External Availability, check out this page .
Number of decimals used in revenue calculations.
  • Use scale of 2 in revenue calculations
  • Use scale of 4 in revenue calculations
Determines the number of decimals in revenue calculations.

Historically, subtotals were rounded to two digits and then added together for the grand total in merge documents and reports. To improve accuracy, it is recommended to use the scale of 4. The four digits are calculated and the totals are rounded to the two digits displayed.

Integration Settings

Amadeus Hospitality Web Services (AHWS) Registration* Register or maintain the link between the Amadeus user and Amadeus Hospitality Web Services (AHWS) user. Do not use unless instructed by an Amadeus Representative.
Amadeus Hospitality Web Services Console.* Manages all aspects of your integration with Amadeus Hospitality Web Service. Do not use unless instructed by an Amadeus Representative.
AHWS Data Collection Settings* Allows support administrators to modify the behavior of AHWS data collection. Do not use unless instructed by an Amadeus Representative.
eProposal Setup* Configures direct integration to Cendyn eProposal. Do not use unless instructed by an Amadeus Representative.
